Your Part for a Successful Presentation
To Start an Engagement:
- Please return the Engagement Agreement, signed.
- Remit the deposit in order to hold the date.
- Provide as specific information as possible about location and times.
As We Plan Together:
- Payment of the appropriate retainer by the agreed upon date.
- Provide the name and contact information (email, telephone number, fax number, and address) of the person designated to be your official representative and coordinator for the presentation.
- Provide a comprehensive overview of the expected number of participants, their general background, education, experience levels; explain whether it will be a relatively homogeneous group, or a rather diverse group.
- Share with us your expectations for the presentation, any specific or special goals and objectives that you may have, any particular process that you may want us to follow.
Before the Presentation:
The following information should be sent to us about two weeks prior to the presentation date:
- Specific information about the presentation site: room size and layout; physical characteristics; location of windows or other distractions; whether there will be a podium; arrangement of chairs and tables (if any); location of audio/visual screen.
- If applicable, food service arrangements – pre-presentation snacks, morning breaks, luncheons, afternoon breaks, evening meals.
- General information about the facility, parking, traffic issues for participants, washroom locations, handicapped access, and security (if applicable).
For the Presentation:
- The name and contact information of the person from your organization who will be the on-site responsible party for the presentation, if not the same person as named earlier; please include a cell-phone number.
- We will need a Lavalier microphone to allow Claude the freedom to move – fixed microphones are not at all desirable; if the room is small enough, a microphone may not be necessary.
- An LCD projector with a remote and a USB port capable of accepting data from an IBM compatible computer.
- An easel with a large newsprint writing pad for flip charts (unless specifically excluded by Seeress).
- An assortment of colored markers, that work (unless specifically excluded by Seeress).
- For smaller groups, or for workshops and seminars, name tags for the participants, written in large enough letters that Claude can read them. Remember, you may know everyone there, but Claude does not.
- IMPORTANT – please ensure that all electronics are functioning properly before the start of the presentation; please test them!
After the Presentation:
- It is important for Claude to know how the presentation was received and whether the participants felt that their expectations were reasonably met. Feedback or comment sheets will be provided.
- Please let us know if any follow-up presentations may be appropriate to build upon what was covered, or to share it with other groups within your organization or related entities.
